The 45th APLA Annual Meeting will be held from October 20 to 23, 2025.

Where will the meeting be held?

The meeting will be held at the Grand Fiesta Americana Coral Beach Cancun Hotel in Cancun, Mexico.

When is the opening date for registration?

Registration will be open as of Monday, Jun 2, 2025.

When is the deadline for registration?

You will be able to register online at any time.

What is the dress code?

Business casual: No jacket or tie is required.

ABOUT THE HOTEL VENUE

Which hotel is hosting the event?

The event will take place at the Grand Fiesta Americana Coral Beach Cancun Hotel.

When can I make a reservation at the hotel venue?

Once you complete the registration process, you will be provided the necessary hotel booking information.

APLA reserves the right to cancel the hotel reservation if the registration is not paid within 5 days after receipt of the invoice.

The Grand Fiesta Americana Coral Beach is described as a "All inclusive - Luxury without limits" hotel. What does this mean exactly?

The “All Inclusive” option means the accommodation rates paid by each guest include the following products and services:

  • Breakfast, lunch and dinner in the different restaurants of the hotel.
  • Premium bar service
  • Personalized service at the pool and beach areas, with a full food and beverage menu.
  • 24-hour room service.
  • Mini-bar stocked daily with water, coffee, tea, soft drinks, beer and snacks.
  • A variety of outdoor activities exclusive to the Resort.
  • One hour of non-motorized water sports per room, per stay (kayaks and paddle boards) at Coral Beach Marina.
  • New gastronomic experiences.
  • All food and beverage service charges, as well as tips to waitresses and bellhops.

What are the check-in and check-out times?

Check-in time: 3:00 PM

I wish to extend my stay, how should I proceed?

You can select the length of your stay using the link to the hotel website at the end of the registration process. Special accommodation rates and conditions will be available from three (3) days before up to three (3) days after the official dates of the event (October 20-23), subject to availability.

Rates apply 3 days before and 3 days after the event.

If I do not stay at the host hotel, how can I participate in the Meeting?

Those who register for the 45th APLA Annual Meeting but do not stay at the host hotel may purchase a registration package that includes the “Conference Pass,” which is designed exclusively for participation in the event activities taking place inside the hotel.

The Conference Pass includes the following services:

  • Access to all areas of the hotel, from 7:00 AM to 10:00 PM.
  • Access to working sessions, coffee breaks, food and beverages at the scheduled group events or dining facilities from 7:00 AM to 10:00 PM.

Which services or areas are not included in the Conference Pass?

The Convention Pass DOES NOT INCLUDE access to the following services and spaces:

  • Access to the pool and beach areas, including their associated bars and restaurants.
  • After-hours admission to the Havanna Night Club (10:00 PM to 1:00 AM).
  • Lodging at the hotel, nor access to the beach and pool facilities; therefore, food and beverages at the beach and pool bars are not included.

This pass is designed exclusively for participation in the event activities that take place inside the hotel.

How much is the registration fee for the event?

In this edition, APLA will offer the «All Inclusive Grand Fiesta Americana» package, which includes: access to the entire program of the meeting, accommodation and «All inclusive – Luxury without limits» services. These are the two packages available:

These rates do not include a 16% VAT charge – only for foreign participants, not for Mexicans.
To prove their nationality, attendees must provide proof of their entry into the country through one of the following options:
a) The immigration stamp provided to all international visitors upon arrival in Mexico. The passport must be duly stamped by the immigration authorities. “The client» or the attendants will provide these immigration documents to the hotel upon arrival or prior to the departure of the group.
b) A copy of the Digital Multiple Migratory Form (FMMd) for each participant stating the correct purpose of the visit, which must be «business”. This form must be downloaded from the Government of Mexico´s website: www.inm.gob.mx/spublic/portal/inmex.html.
Participants will provide this digital form upon arrival at the hotel.

What is the deadline for the early registration fee?

Until Friday, August 15, 2025. From August 16, 2025, the full fee will be applied.

How can I pay the registration fee?

Registration can be paid by credit card or bank transfer.

If I attend with a companion who will not participate in the meeting, what is the rate for the All Inclusive accommodation?

The additional accommodation rate per night per double room is USD 110.02 + taxes.
*Note: A work colleague is not considered a companion.

If I don’t stay at the venue hotel and choose the Conference Pass, what is the registration fee?

In this edition, APLA will offer the “Conference Pass» package, which includes access to the entire program of the meeting and «All inclusive – Luxury without limits» services.

REGISTRATION CANCELLATION POLICY

Can I get a refund if I cancel my registration?

Yes, refunds will be made according to the following deadlines:

Until August 15, 2025: From August 16, 2025: No show
30% of the paid amount shall be reimbursed. No refund. No refund.

In the event of cancellation, when will refunds be processed?

All refunds will be made after the end of the Annual Meeting.

Cancellation Policy: Exclusive benefit for MEMBERS

Only APLA members will receive the benefit of having 50% of the amount paid

credited toward registration for next year’s meeting.

 

CANCELLATION REFUND POLICY

Participants who prefer to have their refund credited (according to the applicable percentage) toward a future registration may do so at any of the next three APLA meetings.

a) If the registered participant works for a company that is an ANNUAL CONTRIBUTING MEMBER of APLA, the credit may be used by the company for the payment of a future registration; it can therefore be transferred to another person from the same company.

b) If the registered participant works for a company that is an ANNUAL NON-MEMBER CONTRIBUTOR of APLA, the credit is non-transferable.

 

REFUND FEES ACCORDING TO PAYMENT METHOD:

a) For payments made by credit card, 7% of the cost paid will be retained for administrative expenses.

b) For payments made by bank transfer, USD 60 will be retained for bank administrative expenses.

Can a colleague from my own company attend in my place?

A participant may be replaced by someone from the same company, free of charge

When can I reserve a meeting space?

You can select your meeting space(s) from April 7 to April 25, 2025.

How are meeting spaces assigned?

In the event more than one company requests the same space, spaces will be assigned taking into account the following conditions:

  1. Whether the company is a member of APLA. (To access this benefit, the annual calendar year fee must be paid).
  2. Their contribution and level of annual contribution to APLA.
  3. The number of registrants they have for the 45th APLA Annual Meeting.

When will the allocation of spaces be announced?

Beginning on May 9, 2025, companies will be informed of the spaces that have been assigned to them.

When is the reservation of a meeting space confirmed?

The reservation of a meeting space will be confirmed when the payment is made for the space.

TRANSFERS

How can I book a transfer from the airport to the hotel and back?

We recommend using authorized airport transfers.
